Appointment approval

You propose, your buddy approves

Every appointment has one operator and one assistant. The proposal goes to the assistant, and the session isn't reserved for either of you until they approve.

In practice

How it works

  1. A proposal's journey

Tap a glowing session, pick the patient and the planned work, choose the assistant and propose. The proposal lands in your buddy's inbox: patient nickname, class, work, expected points, session, operator and assistant. Your buddy approves, declines or suggests another session. Once approved, the session turns solid on both calendars.

    • Statuses: Draft, Waiting for a reply, Approved, Declined, New time suggested, Patient confirmed, Completed, Cancelled
    • If your buddy isn't free you can invite a classmate by code as assistant
    • Two patients can share a session: tick “I have a unit” for each
  2. A reply within 24 hours

A proposal nobody answers goes back to Draft after 24 hours (or two hours before the session) and you are both told. Nothing hangs in limbo.

  3. Changing an approved appointment

An approved appointment belongs to both of you; neither can edit or delete it alone. “Request change” lets you pick Edit (new session, time, assistant, work) or Remove, with an optional reason (“Patient called in sick”). Until the other person approves, the appointment stays exactly as it was, with a small “change requested” chip.

    • Only one open request per appointment at a time
    • Whoever asks can't decide their own request
    • If it's declined, the original stays and the requester is told
  4. Changing the assistant

Only the operator can ask to change the assistant. The request goes to the new assistant, not the old one; they can open the appointment and only accept or decline. Nothing changes until they accept. When it goes through, the old assistant is told that someone “takes over as assistant”. If the new one declines, nothing changes and they lose access to the appointment.

  5. Reminders and completing a visit

Reminders arrive inside the app: the evening before and one hour before, to both operator and assistant. There are no email notifications. You can mark an appointment “Completed” only once its start time has passed; you tick the work done and the points go to the class. If the patient doesn't come you mark “No-show” and the session frees up.

How this helps

    • Who, when and where at a glance.
    • Nobody can change something behind your back.
    • No proposal hangs forever: unanswered ones go back to Draft after 24 hours.
    • Points come from the completed appointment, so you don't move them by hand.

The other parts

The five parts are connected: change one and the others follow.
